Business licence renewal checklist: what to renew and when to start

Every business has a different mix of documents to renew, but most fall into the same groups. Use this checklist to make sure nothing is missing from your register, and to decide how early each renewal should start. Requirements differ by country, city and industry, so treat this as a starting point and confirm the details with the issuing authority.
Company registration and trade licences
Trade or business licences, tax registrations and local permits usually renew yearly. Many authorities charge late fees or suspend the licence after expiry, and some need supporting documents such as a tax clearance or a lease agreement.
Start 60 to 90 days before expiry, so there is time to gather documents.
Industry certificates and accreditations
ISO certificates, safety certifications, electrical or gas licences, food hygiene ratings and contractor enlistments often depend on an audit or inspection that must be booked weeks ahead.
Start 90 days before expiry, and earlier if an audit is required.
Insurance policies
Liability, property, vehicle, professional indemnity and workers' compensation policies. A lapse can leave the business uninsured and can break contract terms with clients.
Start 30 to 60 days before renewal, so you have time to compare quotes.
Vehicle and equipment documents
Registration, roadworthiness or fitness certificates, road tax and equipment inspection certificates. These often need the vehicle or machine to be physically inspected.
Start 30 days before expiry, and track them per vehicle.
Contracts and leases
Office leases, software subscriptions, maintenance agreements and supplier contracts often renew automatically unless you give notice within a window. Track the notice date, not only the end date.
Start at least 30 days before the notice deadline.
Staff certifications and permits
Professional registrations, driving licences, first aid certificates and work permits that the business relies on. Assign the employee and a manager as owners.
Start 60 days before expiry.
