Real estate licence and continuing education tracking
Estate agents, brokers and property managers whose licence depends on education hours earned before a date, in jurisdictions that each count them differently.
What businesses in this sector typically track
- Agent and broker licences
- Continuing education hours
- Ethics and fair housing minimums
- Professional association membership
- Errors and omissions cover
- Trust account audit
- Managed property certificates
- Tenancy and lease expiries
Templates are organizational aids and do not constitute legal, tax or regulatory advice.
A licence is a date and a number of hours
An agent cannot renew by paying a fee alone. The term carries an education requirement, and the hours have to be earned before the renewal window closes. A reminder about the expiry date, on its own, arrives long after the point where anything could be done about it.
The requirements differ everywhere. California asks for 45 hours over four years, Texas for 18 over two, Florida for 14 over two, and many jurisdictions set minimums inside that total for ethics, fair housing and agency. Hours usually do not carry into the next term, and the same course usually cannot be counted twice.
The failure is almost never the date
Most agents know roughly when their licence expires. What catches them is the shape of the requirement: the total is met, the ethics minimum is not, and nothing says so until the renewal is refused or an audit asks for certificates.
DeadlineDesk tracks the total and each topic minimum separately, and treats a met total with an unmet minimum as unfinished, because that is what it is.
What a brokerage keeps in one place
An agency carries its own documents alongside everyone's licences, and both end up being chased by the same person.
- Salesperson, agent and broker licences, with the jurisdiction on each
- Education hours completed this term, by topic, with the certificate attached
- Association and MLS membership, and any franchise agreement
- Errors and omissions and professional indemnity cover
- Client money protection, trust account audits and redress scheme membership
- Anti-money laundering registration and staff training
- Fire, electrical and lift certificates on managed buildings, and tenancy end dates
Why a spreadsheet loses this
Hours arrive one course at a time, often months apart, from different providers, and a state system may take days to show a completion. By the time a sheet is reconciled it is usually a week before the deadline.
Recording each course as it is completed, against the licence it belongs to, keeps the answer current without anyone reconciling anything. The broker sees every agent's position in one list.
Evidence when someone asks for it
The printable report includes a transcript of the hours completed this term for each licence, with the provider, the date and any certificate number, alongside the rest of the agency's documents. That answers an audit, an insurer or a franchise review without rebuilding the record from email.
DeadlineDesk does not report hours to a regulator and does not verify them. It keeps the agency's own record straight, and says plainly that the official position is the one your licensing body holds.
How it works here
Each item becomes an obligation with an expiry date, a category, a responsible person and a reminder schedule. Attach the certificate itself, and when it is renewed, record the new dates: the previous cycle is kept as history and the next cycle is created for you.
Questions people ask
- Does it know my state's education requirements?
- No, and it would be wrong to claim otherwise: the rules differ by state and change. You enter the hours and the topic minimums your licensing body set, and DeadlineDesk measures progress against them and warns you when the pace will not get you there.
- Can a broker see every agent's licence in one place?
- Yes. Each licence has an owner and a jurisdiction, and the dashboard shows the whole team ordered by what is closest to expiry, with the education shortfall on each.
- Does it handle licences in several states?
- Yes. Each licence is tracked separately with its own jurisdiction, dates, hours and topic minimums, so holding the same licence in six places is six entries rather than one muddled one.
- Does it replace my state's CE tracking system?
- No. Your licensing body's system remains the official record. This is the agency's own register, which also covers the documents a state CE system was never meant to hold: insurance, memberships, audits and managed-property certificates.
